How We Operate

First Steps

When you call or email Sitka Property Management for the first time, you will be reaching out to licensed property manager and owner Jon Santos. Jon will be able to answer any questions you have about your property, whether you are looking to rent it for the first time, curious about transition to a property manager from your own management of your rental, or looking for a new property management company to replace one that you are currently working with. You will incur no cost meeting with Jon to tour the property, so that a preliminary inspection may be conducted to determine ways in which to maximize your property’s potential as a rental.

Management Agreement

Once the management agreement is executed, Sitka Property Management will take full responsibility for leasing your property, including advertising, conducting screening practices for potential tenants, and executing leases. During tenancy, Sitka Property Management will be available 24/7 to deal with anything from the routine maintenance issue to emergency repairs. Sitka is a small company focused on management with a personal touch, so owners are always consulted when action is needed.

Marketing/Advertising

We use all available resources to market your property quickly and efficiently. Existing rentals are advertised in advance of tenant move out to try and accomplish a quick turn over.

Tenant Screening and Leasing

Prospective tenants are thoroughly screened through our application process for credit, criminal and eviction history, as well as employment verification and rental history. We can work with you to set a criteria along these lines. Tenant screening comes at no cost to you.

Once a tenant is approved, we will negotiate a lease while consulting you in case any specific terms pertaining your property should be included. We handle all the paperwork involved and execute the lease with the tenant. We will provide you with a copy of the lease for you records and keep the original on file.

Tenant Move in/Turnover

Prior to moving in, we will conduct a thorough walk through with the tenants to take note of the condition of the house and grounds. Tenants will be held responsible for any damage beyond normal wear and tear while they occupy the property, and this will be assessed during move out or during tenancy if issues arise. We will consult you after tenants vacate to determine the condition of the property before refunding the security deposit. We will also provide contractors for cleaning and repairs if needed.

Rent Collection and Payments

We will collect rent from tenants through paper check or online payments. Your payment will be received shortly after rent is received, and later in the month, you will receive a full statement outlining your income and expenses for your records. We can also pay utility bills on your behalf, whether it’s a utility that you agree to cover for tenants, or while the house is vacant. Maintenance and repair receipts will be disbursed to you along with your monthly statement, as well as details on your account balance, and year to date income/expenses, if needed.

Maintenance

We work with a small group of licensed, bonded and insured sub contractors who are available 24/7 to help ensure that repairs and maintenance issues are dealt with quickly and properly. Our contractors make an effort to keep invoices low. Estimates will be provided for larger maintenance/repair projects to help you decide the best path forward.

When a the property is leased, we will work with you to establish a walk through schedule specific to your property, taking note of any special needs. Walk through’s are included in the management fee, so we do not charge extra to visit the property while it’s rented. While we try not to inconvenience tenants with frequent on site visits, we will view the outside much more frequently to assure that the property is well taken care of.
